This Privacy Policy explains how Reimbursement Assistant ("the Service", operated by FLUXA TECHNOLOGY PTE. LTD.) collects, uses, and protects your personal information. By using the Service, you agree to the practices described here.
Account information: the name, email address, password (stored only as a salted hash), and company name you provide at registration.
Reimbursement data: expense reports and receipt images submitted by you or your authorized AI agents, together with extracted details such as amounts, dates, and merchants.
Payout information: the payout account details required to disburse approved reimbursements.
Usage records: sign-in times, activity logs, and API call records kept for security auditing.
We use this information solely to provide expense submission, approval, and payout features; to run AI receipt recognition and policy compliance checks; to send essential service notices such as password resets; and to keep accounts and funds secure.
We do not sell your personal information or use it for advertising unrelated to the Service.
To operate the Service we rely on industry-standard third-party providers for cloud hosting and file storage, AI receipt recognition, transactional email, and payment processing. Each provider accesses data only to the extent needed to perform its function.
All data is encrypted in transit over HTTPS. Passwords are stored as one-way hashes and are never readable in plain text. Role-based access control ensures that only authorized members of your company can view its reimbursement data.
While your account is active we retain reimbursement records to meet finance and audit requirements. To delete your account and associated data, contact us using the details below and we will process your request to the extent permitted by law.
The Service uses only the session cookies required to keep you signed in and local storage for your language preference. We do not use third-party tracking or advertising cookies.
We may update this policy from time to time and will revise the "Last updated" date above. Material changes will be announced in the app or by email.
